BOARD OF DIRECTORS – Job Descriptions
The Huggers Board of Directors consists of eleven members, each having one vote except for the President. All Directors except the President serve a one year term and take office in June at the General Meeting. The President serves a two year term, the second of which is as Past President. The Past President supports the incoming President and has one vote at Board meetings. Each Board member will be responsible for overseeing one or more Club groups.
Elections are held annually in May of each year.
POSITIONS
- PRESIDENT
- 2 year term: 1 year as President and 1 year as Past President
- Manages the business of the Club
- Presides at all meetings of the members and Board of Directors
- Is chairperson of the board of Directors
- Plans the Board and General meeting agendas and leads discussions of topics raised at the meetings
- Writes a monthly newsletter article
- Manages all documents of value belonging to the club
- Is authorized to commit the Club to contracts or make obligations above the limit set by the Club
- VICE PRESIDENT
- Assists the President in administering the affairs of the Club
- Occupies the President’s position and performs the duties if the President is unable to do so
- Writes a monthly newsletter article
- Acts as Sergeant at Arms at Board Meetings
- Is responsible for the program at General Meetings
- Plans the summer picnic
- )versees Legal and Constitutional Committee
- Officiates at one general meeting
- SECRETARY
- Keeps careful and complete records of the meetings of the Club and Board of Directors
- Receives and transmits communications for the Club and for the officers of the Club
- Records, distributes, and uploads to the website minutes of Board meetings
- TREASURER
- Responsible for all funds of the Club
- Receive all income due the Club
- Pay or cause to be paid, all bills when approved
- Maintain appropriate financial records and prepare financial statements
- Collects money from Event Chairs and issues checks
- Prepares and maintains the annual Club budget
- BOARD MEMBER AT LARGE (BMAL – 3 positions)
- Report monthly to the Board of Directors, the wishes, wants and desires of the general membership
- Responsible for overseeing and reporting on 1 – 4 committees as determined at the June Board Meeting
- Discuss and vote on issues raised at the Board Meetings
- Call your committee chairs prior to every Board Meeting asking for a report. Bring these reports and any concerns/questions from your committee chairs to Board Meetings.
Positions:
President:
Term: 2 years: 1 year as President and 1 year as Past President
Duties: Administer the affairs of the Club and officiate at all Board meetings including preparation of agenda.
Vice President:
Term: 1 year
Duties: Assist the President in managing the affairs of the Club – In the absence of the President, carry out the duties and responsibilities of the President – plans the summer picnic – oversees Legal and Constitutional Committee – officiates at one general meeting.
Secretary:
Term: 1 year
Duties: Records, types, distributes via email the minutes of the Board of Directors meetings and, after approval by the Board of Directors, uploads minutes to the club website.
Treasurer:
Term: 1 year
Duties: Administers the financial affairs of the club to include: preparation of annual club budget – submission of monthly financial report to Board of Directors – collect and deposit funds held by event host – issues checks – manages club accounts – files annual 990-N with IRS.
Board Member-at-Large:
Term: 1 year
Duties: Oversee assigned committee(s) – contacts committee chair prior to Board meetings to provide oral or written report of committee activities to Board. There are 3 BML positions which are open for election.

Our club is only as good as the effort we put into it. We have a harmonious Board which has initiated several fun activities. Come aboard for a gratifying experience.
